Retreat Terms & Conditions

Thank you for considering joining our retreat. Please read the following terms and conditions carefully, as they outline important information regarding booking, cancellation, and your responsibilities as a participant.

1. Minimum Numbers & Right to Cancel

Our retreats require a minimum number of participants in order to go ahead. If the minimum number is not reached at least 30 days before the retreat start date, we reserve the right to cancel the retreat.

In the event of cancellation due to low numbers, all payments will be refunded in full. However, we cannot cover or reimburse any additional costs such as flights or accommodation, which is why we strongly advise all participants to read Sections 4 and 5.

2. Women-Only Retreat Policy

This retreat is designed as a women-only experience, with the intention of creating a safe, supportive, and nurturing space for healing and connection among those who identify with the experience of being a woman.

We warmly welcome all women, including cis women, trans women, and non-binary people who feel comfortable and aligned in a women-centred space. We believe in inclusivity and respect for gender diversity, and ask that all participants share this intention.

While the retreat group is for women only, please note that there will be male staff present on-site, including the host’s partner and other male team members employed by the hotel who support logistics, meals, excursions, and guest comfort. These individuals are part of the professional team facilitating your retreat experience and will always act with the highest level of respect for your privacy, safety, and wellbeing.

3. Booking & Payment

To secure your place, a non-refundable deposit is required at the time of booking. The remaining balance must be paid in full by the specified due date, which will be communicated upon confirmation of your booking. 

All retreat payments are held in a separate business account and are used solely for the delivery of the retreat. Funds will either remain untouched until the retreat is complete or will be used in advance to pay suppliers directly involved in the running of the retreat (such as accommodation, catering, or excursions).

 

4. Participant Cancellations

If you need to cancel your booking, please notify us in writing as soon as possible. Refunds (excluding the non-refundable deposit) will be issued according to the following schedule:

  • More than 60 days before the retreat start date: 100% refund (minus deposit)

  • 30–59 days before the retreat start date: 50% refund (minus deposit)

  • Less than 30 days before the retreat start date: No refund available

 

You are welcome to transfer your place to another participant, subject to our approval.

5. Travel Insurance

We strongly recommend that all participants obtain comprehensive travel insurance at the time of booking. This should cover trip cancellation, medical emergencies, travel delays, and personal belongings.

6. Vaccinations

We recommend that all guests consult with a travel clinic or their GP regarding any recommended or required vaccinations for travel to Sri Lanka. It is your responsibility to ensure you are up to date with any relevant immunisations prior to travel.

7. Flights & Transport

Please book flexible or refundable flights where possible. As mentioned above, if the retreat is cancelled for any reason (including low attendance), we will not be liable for any travel or accommodation expenses incurred. Booking with flexibility protects you in the event of unexpected changes.

8. Bookings Made on Your Behalf
From time to time, we may assist in coordinating optional services such as airport transfers, taxis, or additional activities. In doing so, we act solely as a facilitator and not as the service provider. You agree that any such arrangements are subject to the terms of the third-party provider, and Issy Luck Yoga is not liable for any issue, cost, or loss arising from these services.

9. What's Not Included

The following items are not included in the retreat package and are the responsibility of each guest:

  • Flights 

  • Visas, if applicable

  • Airport transfers - we will do our best to group guests together to share transport and reduce costs. If preferred, we can also arrange a private transfer on your behalf, but this will be at your own cost.

  • Alcohol - guests are welcome to bring their own and store it in their rooms if they wish to enjoy it during their stay.

10. Retreat Changes

We reserve the right to make reasonable changes to the retreat itinerary, venue, facilitators, or schedule. Any such changes will be made with the intention of maintaining the quality and integrity of the retreat experience and will be communicated promptly.

11. Third-Party Services and Excursions

Some activities included in the retreat package — such as wild swimming, safaris, boat trips, cooking classes, stargazing, and other excursions — are operated by independent third-party suppliers (including but not limited to Tranquil Wild Boutique Hotel and its partners).

While all services are selected with care, Issy Luck Yoga does not accept any liability for injury, loss, damage, or disruption arising from these third-party services. Participation is voluntary and at your own risk. Guests are responsible for ensuring that their personal insurance covers such activities. We ensure that third-party providers included in the retreat are contractually liable for their own services and maintain their own insurance coverage.

12. Force Majeure

We are not liable for any failure or delay in performing our obligations due to events beyond our reasonable control. This includes but is not limited to acts of God, natural disasters, pandemics, government restrictions, travel bans, or strikes.

13. Health & Wellness Responsibility

By booking a place on the retreat, you confirm that you are in good physical and mental health and are capable of safely participating in retreat activities. If you have any health concerns or medical conditions that may affect your participation, please inform us in advance. Participation is voluntary and at your own risk, and we accept no liability for any injuries or health issues that may arise. All personal information collected (including health details) will be handled in accordance with GDPR principles and used solely for retreat planning and safety purposes.

14. Personal Conduct

We are committed to fostering a respectful, inclusive, and supportive retreat environment. We reserve the right to remove any participant from the retreat, without refund, if their behaviour is disruptive, disrespectful, or negatively impacts the group dynamic.

15. Privacy & Media Consent

All personal sharing within the group is to be treated with confidentiality by all participants.

Occasionally, photos or videos may be taken during the retreat for use in future promotional materials. If you do not wish to appear in any media, please notify us in writing prior to the retreat.

16. Liability Disclaimer

While we take every care to ensure your safety and wellbeing, participation in the retreat is entirely at your own risk. We are not liable for any loss, damage, injury, or expenses incurred in connection with the retreat, including but not limited to travel disruptions, illness, or personal property loss. Issy Luck Yoga maintains full professional indemnity and public liability insurance as a certified yoga teacher via Yoga Alliance Professionals.
